Position Highlights

The Music Operations Coordinator will provide operational and customer service support for the School of Music’s instrument and equipment resources. This position assists with inventory tracking, equipment distribution, and event preparation, while supporting students, faculty, and staff. The role also provides basic coordination support for performances and maintains accurate records within established systems and processes. A successful incumbent must have the ability to lift and move up to 25 pounds on a regular basis, must be able to climb ladders and repetitively lift up to 25 pounds.

Duties & Responsibilities
  • Assist with scheduling and coordination of events and performances.
  • Collect and organize event-related information from faculty and performers.
  • Support staffing coordination for events (student workers, as directed)
  • Assist with classroom and space scheduling.
  • Participate in operational meetings.
  • Process check-out and return of instruments and equipment.
  • Maintain accurate records in asset management system.
  • Assist with payment processing using established systems.
  • Support training of student workers as directed.
  • Perform basic upkeep and inspection of instruments and equipment.
  • Identify maintenance needs and report issues to supervisor.
  • Assist with coordinating repairs through approved vendors.
  • Track inventory and assist with ordering routine supplies.

Physical Requirements:

  • Ability to lift and move up to 25 pounds on a regular basis.
  • Must be able to climb ladders and repetitively lift up to 25lbs.

Knowledge, Skills, and Abilities (KSAs):

  • Knowledge of FERPA regulations.
  • Knowledge of basic office and inventory management practices.
  • Ability to follow established procedures and maintain accurate records.
  • Strong customer service and interpersonal skills.
  • Ability to communicate effectively with diverse populations.
  • Knowledge of musical instruments.
  • Ability to learn and use university systems and software.

Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
  • Must hold a valid AZ Driver's License and be able to drive for work as required by the UA Fleet Safety Policy
Preferred Qualifications
  • 1 year of front line Customer service experience.
  • Bachelors in music performance, music education, or relevant field.
  • Background in music performance.
